FAQ

What affects the cost of business email hosting and management?

Email hosting costs depend on your provider, number of mailboxes, migration needs, DNS setup, deliverability issues, security requirements and support level. Dobble primarily uses Microsoft 365 for business email hosting, with other reputable providers used where suitable. A tailored quote is prepared after reviewing your current email, domain and technical requirements.

The cost of business email hosting and management depends on the size of your setup, the condition of your existing email environment and the level of technical management required. Dobble does not publish one fixed email price because email projects can range from a simple professional mailbox setup through to a more complex migration involving multiple users, domains, DNS records, devices and deliverability problems.

One of the main cost factors is the number of users or mailboxes required. A business with one or two inboxes has different needs from a company with multiple staff, shared mailboxes, aliases, role-based addresses and access across several devices. Dobble primarily uses Microsoft 365 for business email hosting, although other reputable third-party providers may be used where client requirements call for them. Provider licensing, mailbox structure and management requirements all need to be reviewed before an accurate quote can be prepared.

Migration complexity also affects the cost. If your current email is with an older provider, a former agency, a personal account or a poorly documented setup, additional audit and preparation work may be needed. Dobble’s migration approach usually includes reviewing the existing email, domain and DNS settings, preparing the new environment, coordinating DNS changes, migrating in parallel where practical, then testing sending, receiving, mailbox access and authentication after cutover. The goal is to minimise disruption, although temporary interruptions can still occur because of DNS propagation, third-party providers or internet caching.

DNS configuration is another important quote consideration. Business email depends on correct DNS records, including MX, SPF, DKIM and DMARC. These records help receiving mail servers understand which systems are authorised to send email for your domain. Correct configuration can improve deliverability, but it does not guarantee inbox placement, spam filtering outcomes or uninterrupted email availability. Email services such as Microsoft 365 remain subject to provider availability, policies and technical limits.

Deliverability problems can also increase the scope of work. If your emails are landing in spam, website forms are not sending notifications, invoices are being missed or your domain reputation has been affected, Dobble may recommend an email deliverability audit before making changes. This can help identify whether the issue is caused by DNS records, sender reputation, website form configuration, third-party platforms or another technical factor.

Ongoing management and support requirements also influence the quote. Some businesses need basic setup and handover, while others want Dobble to coordinate domains, hosting and email as one technical point of contact. Hosting, maintenance, domain and email clients have access to support 24 hours a day, 7 days a week. Emergency support is available, with typical response times within 4 hours, but emergency work outside an SLA is charged on an ad hoc basis, with quotes, predictions or capped timing supplied before work begins.

To prepare an accurate quote, Dobble will usually need to understand your current provider, number of users, domain access, DNS access, mailbox requirements, migration timing, deliverability concerns, device requirements and whether email needs to integrate with your website, forms or other business systems.

If you are unsure what you need, the best starting point is a review of your current email and domain setup. Dobble can then recommend a practical configuration that supports reliable business communication, correct DNS authentication and long-term management.
